1. Booking & Confirmation
TNS Travel provides inbound travel and destination management services in India, including accommodation, transportation, sightseeing, guides, excursions and other travel arrangements.
A quotation or itinerary provided by TNS Travel is subject to availability and does not constitute a confirmed booking.
A booking becomes confirmed only when:
The person making the booking confirms that they are authorised to accept these Terms & Conditions on behalf of all travellers included in the booking.
For bookings made through an overseas travel agent or tour operator, the specific commercial terms agreed between TNS Travel and the booking partner may also apply.
2. Quotation & Prices
All quotations are subject to availability and are valid only for the period stated in the quotation.
Prices may change before confirmation due to changes in hotel rates, transportation costs, fuel prices, taxes, entrance fees, government charges, airline or railway fares, currency fluctuations or supplier rates.
Once a booking has been confirmed, the agreed price will be stated in the booking confirmation or invoice, subject to the provisions relating to government taxes, additional mandatory charges and circumstances beyond our control.
3. Advance Payment & Balance Payment
Unless otherwise agreed in writing, an advance payment of 30% of the total tour cost is required to confirm a booking.
Certain bookings may require a higher advance or full payment at the time of confirmation, particularly during peak periods or where suppliers require advance or non-refundable payment.
Unless otherwise agreed, the balance payment is due 30 days before the scheduled arrival or departure date.
For bookings made within 30 days of travel, full payment may be required at the time of confirmation.
For bookings made within 14 days of travel, TNS Travel reserves the right to require 100% advance payment before confirming the arrangements.
If payment is not received by the due date, TNS Travel may cancel or release the booking and apply the applicable cancellation or supplier charges.
4. Payment Methods
Payments may be made by bank transfer, approved electronic payment method, payment gateway, credit/debit card or any other payment method accepted by TNS Travel.
Applicable bank charges, payment gateway charges, card processing fees or currency conversion charges may be payable by the Client and will be advised where applicable.
Payment is considered received only when cleared funds have been credited to TNS Travel's account.
5. Cancellation by the Client
Any cancellation must be made in writing by the person who made the booking or by an authorised representative.
Cancellation charges depend on the individual services booked and the cancellation conditions imposed by the respective suppliers.
These may include cancellation charges imposed by:
Where a specific cancellation policy is mentioned in the quotation or booking confirmation, that policy will apply to the relevant booking.
Important: Some services may be non-refundable from the date of confirmation. Where a supplier has already charged TNS Travel a non-refundable amount, that amount will be deducted from any refund due to the Client.
Any refund will be processed after deduction of applicable supplier charges, bank/payment gateway charges and other applicable costs.
6. Cancellation Close to the Date of Travel
As a general guideline, cancellations made close to the date of travel may result in substantial cancellation charges.
The actual amount payable will depend on the cancellation policies applicable to the confirmed services.
Where suppliers impose 100% cancellation or non-refundable charges, TNS Travel may be unable to provide any refund for the affected service.
The cancellation terms specifically stated in the booking confirmation will take precedence over these general website Terms & Conditions.
7. Changes or Amendments to a Booking
Requests to change travel dates, hotels, room categories, number of passengers, vehicle arrangements, sightseeing, itinerary or other services must be made in writing.
TNS Travel will make reasonable efforts to accommodate requested changes, subject to availability.
Additional costs resulting from changes may include:
A reduction in the number of travellers or services does not automatically entitle the Client to a proportional refund.
8. No-Show & Early Departure
If a traveller does not arrive for a confirmed service without prior notice, the booking may be treated as a no-show.
No refund will normally be available for unused services, including hotel nights, transportation, sightseeing, meals, guides, activities or other prepaid arrangements.
Similarly, if a traveller voluntarily shortens the trip or leaves the tour early, unused services are generally non-refundable unless a refund is approved by the relevant supplier.
9. Hotel Accommodation
Hotel accommodation is subject to availability and the individual hotel's terms and conditions.
Hotel check-in and check-out times are determined by each hotel. As a general guideline, standard check-in is around 1400 hrs and check-out around 1200 hrs, unless otherwise stated.
Early check-in and late check-out are subject to availability and may involve additional charges.
Requests for specific room locations, connecting rooms, adjoining rooms, bed types or views are treated as requests unless specifically confirmed by the hotel.
Hotel facilities and services may occasionally be unavailable due to maintenance, operational requirements, weather or other circumstances beyond our control.
10. Transportation & Vehicle Usage
Where transportation is included, the vehicle type and capacity will be specified in the itinerary or quotation.
The vehicle and driver are reserved for the confirmed itinerary and travel dates.
Unless otherwise stated, the transportation cost may include the vehicle, driver, fuel, tolls, parking, applicable interstate taxes and permits.
The vehicle may only be used for the agreed itinerary.
Additional use of the vehicle, including additional kilometres, additional hours, detours, additional sightseeing, transfers or itinerary changes, may incur additional charges.
If the Client reduces the number of travel days after the vehicle has been secured, a proportional reduction in transportation cost is not automatically applicable because the vehicle and driver may have already been committed exclusively to the booking.
11. Driver & Guide Services
Drivers and guides are required to operate within reasonable working hours and applicable regulations.
The itinerary will be planned taking into account travel distances, road conditions, traffic, sightseeing schedules, safety and operational requirements.
Requests for excessive driving or working hours may not be accepted where they compromise safety or applicable regulations.
Additional services or extended working hours, where possible, may be chargeable.
12. Flights, Trains & Public Transportation
Air tickets, railway tickets and other public transportation services are subject to the rules and conditions of the respective airline, railway authority or transport provider.
Cancellation, amendment, refund, baggage, no-show and rebooking conditions will be governed by the relevant carrier's rules.
Any fare difference, cancellation fee, rebooking charge or other applicable cost resulting from a Client-requested change will be payable by the Client.
Flight and train schedules may be changed or cancelled by the respective carrier.
13. Passports & Visas
International travellers are responsible for ensuring that they hold valid passports and the appropriate visa or travel authorisation required for India and any other destination included in their itinerary.
TNS Travel may provide general visa information or assistance where agreed, but visa approval is entirely at the discretion of the relevant immigration authorities.
TNS Travel does not guarantee visa approval, processing time or entry into India.
If a visa is refused, delayed or not obtained, cancellation and other charges imposed by hotels, airlines, transport operators and other suppliers will remain applicable.
Travellers are responsible for checking the latest passport, visa, immigration and entry requirements applicable to their nationality.
14. Travel Insurance
TNS Travel strongly recommends that all travellers obtain comprehensive travel insurance before departure.
Insurance should, where appropriate, cover medical expenses, emergency evacuation, cancellation, curtailment, baggage loss or delay, personal accident and travel disruption.
TNS Travel is not an insurance provider and is not responsible for losses that could reasonably have been covered by appropriate travel insurance.
15. Health & Special Requirements
Travellers should inform TNS Travel in advance of any special requirements relating to health, mobility, dietary restrictions or other circumstances that may affect the travel arrangements.
TNS Travel will make reasonable efforts to communicate such requirements to relevant suppliers.
However, requests cannot always be guaranteed, as the final decision rests with the relevant hotel, restaurant, transport operator or other service provider.
Travellers are responsible for obtaining appropriate medical advice and carrying any required medication.
16. Sightseeing & Activities
Sightseeing, attractions and activities are subject to opening hours, local conditions, weather, government regulations and availability.
Monuments, museums, national parks, wildlife reserves, religious sites and other attractions may occasionally close or restrict access without prior notice.
Where an included activity or attraction becomes unavailable, TNS Travel will make reasonable efforts to arrange an alternative where practical.
Any refund will be subject to the policy of the relevant supplier or attraction.
17. Itinerary Changes
TNS Travel makes every reasonable effort to operate the itinerary as confirmed.
However, changes may become necessary because of weather, road conditions, traffic, government restrictions, political situations, public events, transportation disruptions, attraction closures, safety considerations or other circumstances beyond our reasonable control.
Where necessary, TNS Travel may modify the sequence, timing or components of an itinerary and will make reasonable efforts to provide a suitable alternative.
Additional costs arising from circumstances outside TNS Travel's control may be payable by the Client.
18. Force Majeure
TNS Travel shall not be responsible for failure or delay in providing services caused by circumstances beyond its reasonable control.
Such circumstances may include natural disasters, floods, earthquakes, extreme weather, epidemics or pandemics, war, terrorism, civil unrest, strikes, government restrictions, transportation disruptions, road closures, airport or railway closures, fire, technical failures, closure of attractions or other unforeseen events.
TNS Travel will make reasonable efforts to assist affected travellers and arrange alternative services where practical.
Any additional costs resulting from such circumstances will generally be payable by the Client unless otherwise agreed or recovered from suppliers.
19. Prices, Taxes & Government Charges
Prices are based on the rates, taxes and government charges applicable at the time of quotation.
If government authorities introduce new taxes, fees or mandatory charges after the quotation or confirmation, such additional amounts may be payable by the Client where legally applicable.
Similarly, significant increases in supplier costs, fuel prices, transportation charges or other mandatory costs may result in a price adjustment where permitted by the applicable booking terms.
20. Currency & Bank Charges
Where a quotation is provided in a foreign currency, payment will be made in the currency specified in the quotation or as otherwise agreed.
Bank charges, intermediary bank charges, currency conversion charges and payment gateway charges may be payable by the Client.
The exchange rate applied by the Client's bank or payment provider may differ from the rate used by TNS Travel.
21. Client Conduct
Travellers are expected to behave respectfully towards TNS Travel staff, guides, drivers, hotel staff, suppliers, local communities and fellow travellers.
TNS Travel reserves the right to take reasonable action where a traveller's behaviour is abusive, threatening, unlawful, seriously disruptive or creates a safety risk.
Any additional costs resulting from such behaviour will be payable by the traveller.
22. Personal Belongings
Travellers are responsible for their passports, money, luggage, valuables, electronic devices and personal belongings.
TNS Travel recommends that travellers take reasonable precautions and maintain appropriate travel insurance.
TNS Travel shall not be responsible for loss or theft resulting from the traveller's failure to take reasonable care, subject to applicable law.
23. Our Responsibility & Liability
TNS Travel will exercise reasonable care in arranging and coordinating the travel services confirmed with the Client.
Many travel services are provided by independent third-party suppliers, including hotels, airlines, railways, transport operators, guides, restaurants and activity providers.
TNS Travel is not responsible for circumstances arising from the acts, omissions or failures of independent suppliers where such matters are outside TNS Travel's reasonable control, except to the extent liability cannot legally be excluded.
TNS Travel will, where reasonably possible, assist the Client in communicating with the relevant supplier and resolving any issue.
Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited under applicable law.
24. Personal Data
TNS Travel may collect and process personal information required to arrange travel services, including names, passport details, nationality, contact details, accommodation information and travel preferences.
Such information may be shared, where necessary, with hotels, airlines, transport providers, visa service providers, government authorities and other suppliers involved in providing the contracted travel services or complying with legal requirements.
TNS Travel will take reasonable measures to protect personal information in accordance with applicable laws and regulations.
25. Complaints
If you experience a problem during your trip, please inform your TNS Travel representative, guide, driver, hotel or relevant service provider as soon as possible.
Prompt notification gives us the best opportunity to investigate and resolve the matter while you are travelling.
If the issue cannot be resolved during the trip, a written complaint should be submitted to TNS Travel within 28 days of completion of the relevant travel arrangements.
Complaints should include sufficient details and supporting documents where applicable.
26. Group Bookings & Special Events
Group bookings, conferences, weddings, special events, luxury trains, cruises, safaris, peak-season travel and other special arrangements may be subject to separate payment and cancellation conditions.
Where special terms are stated in the quotation or booking confirmation, those terms will take precedence over the general Terms & Conditions.
27. Unused Services
No refund will normally be provided for services included in a confirmed itinerary but voluntarily not used by the Client.
This includes unused hotel nights, meals, sightseeing, transportation, guides, excursions, activities or other prepaid services.
Where a supplier provides a refund or credit for an unused service, TNS Travel will pass on the applicable amount after deduction of any permitted charges.
28. Governing Law & Jurisdiction
These Terms & Conditions shall be governed by the laws of India.
Subject to applicable law, disputes arising from or relating to services provided by TNS Travel Pvt Ltd shall be subject to the jurisdiction of the competent courts in Gurugram, Haryana, India.
Where appropriate, TNS Travel and the Client will first make reasonable efforts to resolve any dispute amicably.
29. Acceptance of Terms
By confirming a booking, making an advance payment, signing a booking form, accepting a quotation or confirming travel arrangements by email or other written communication, the Client confirms acceptance of these Terms & Conditions.
These Terms & Conditions form an integral part of the travel arrangement between the Client and TNS Travel Pvt Ltd.
